Privacy Policy

Care Wizard is operated by Care Wizard LLC, a Florida company. If you have a question about this policy or about your data, email info@carewizard.ai. A person reads that inbox.

Care Wizard is built so resident and client information cannot enter it. There is no field for a resident name, diagnosis, date of birth, Medicaid number or guardian, and we will not add one.

This is enforced in our engineering process, not merely promised: an automated check blocks any code change that would add a resident data field. Because that information never enters the system, Care Wizard does not hold protected health information about the people you serve.

Free-text notes are the one place someone could type something they should not. The app warns against it. Please do not put resident names in notes.

Your account. Name, email address, and a password you set. We never see your password in readable form.

Records you enter. Your staff members' names, job titles, contact details, hire dates, training and screening records, schedules, and your homes with their facility records.

Documents you upload. Training certificates, transcripts and similar files, plus optional staff photos.

Billing information. Handled by Stripe. Your card number goes to Stripe, never to us.

Basic usage information. Which pages and features are used, and technical error reports when something breaks.

Proof that you accepted our terms. When you agree to the Terms of Service and this policy, we record which version you agreed to, when, and the IP address and browser the agreement came from. That is kept only as evidence of the agreement itself. We do not use it to profile you, and we do not log your IP address as you move around the app.

To run the service you signed up for: showing compliance status, sending reminders before something expires, producing your records and inspection packages, supporting you when you ask, and taking payment. We do not use it for anything else.

Running software means relying on other companies for infrastructure. These are all of them, what each receives, and why:

Each receives only what it needs to do its job, and none is permitted to use your information for their own purposes.

When you photograph a certificate or upload a training transcript, that document is sent to Anthropic's Claude to be read and turned into a suggested entry. The same applies to questions you ask the in-app assistant.

A suggestion is only ever a suggestion. Nothing reaches your records until a person reviews it and submits the form.

We do not permit your data to be used to train AI models. If you would rather no document ever left for reading, simply do not use the scan feature and enter records by hand — every part of the app works without it.

No selling, ever. We do not sell, rent or trade your information, and we do not share it with anyone for their own marketing.

No competitive use. Care Wizard is built by people who also run Florida APD group homes. We do not access, review or analyze your records to compete with you, or for the benefit of any other operator, including operators connected to us.

No advertising and no cross-site tracking. We run no ad networks and no advertising trackers.

Restrained analytics. Our product analytics are configured not to capture the text or clicks on your screen, and visitors who are not signed in get no stored profile. Our error monitoring excludes personal information, and screen recording is never switched on anywhere in the product.

Data is encrypted in transit and at rest by our infrastructure providers. Each business's records are isolated at the database level, so one business cannot reach another's. Access within your business follows roles: an administrator sees their organization, a staff member sees their own records.

Our own access is limited to what is needed to operate and support the service. No system is perfectly secure and we will not claim otherwise. If a breach ever affects your data, we will tell you.

We keep your records while your account is open, because compliance history is the point of the product — a training record from four years ago is evidence, not clutter.

If you close your account, tell us and we will delete your data. Some information may remain in encrypted backups for a limited period before those expire, and we may keep billing records where the law requires it.

You can view and correct your records in the app at any time, and turn off email and push reminders. You can ask us for a copy of your data, or ask us to delete it, by emailing info@carewizard.ai.

If you are a staff member whose employer uses Care Wizard, your records belong to that employer. Ask them first, and contact us if you cannot resolve it.

We use cookies to keep you signed in and to remember basic preferences, plus the limited analytics described above. We do not use advertising cookies.

Care Wizard is a business tool and is not directed at anyone under 18. We do not knowingly collect information from children.

If we change this policy in a way that matters, we will update the date at the top and tell account holders. Continuing to use Care Wizard after a change means the updated policy applies.
