1. What Care Wizard Is

Care Wizard is a tool for tracking staff training and compliance records for Florida APD providers — group homes, Supported Living, and Personal Supports. It helps you organize, log, and monitor compliance information you provide.

2. Not a Guarantee of Legal Compliance

Care Wizard is a record-keeping and organizational tool. It does not itself guarantee that you, your staff, or your business are in compliance with any law, regulation, or licensing requirement. Regulations change over time — sometimes with little or no public notice — and you (the business and its administrators) remain solely and fully responsible for verifying current requirements directly with the relevant regulatory authority (such as APD or AHCA) and for your business's actual compliance.

We make reasonable, good-faith efforts to keep the Compliance Library accurate and current, including periodic automated checks against official sources. But we do not warrant that any requirement, description, deadline, renewal period, or linked resource in Care Wizard is complete, current, or error-free at any given moment. Care Wizard, its developers, and Care Wizard LLC disclaim all liability for any fine, penalty, licensing action, or other consequence arising from reliance on Compliance Library content that turns out to be outdated, incomplete, or incorrect. Always confirm anything that matters directly with the regulator before treating it as final.

3. Accuracy of Information You Provide

Any information entered into Care Wizard — including training completions, dates, uploaded documents, and staff records — is provided by you or your organization. Care Wizard, including any AI-assisted document reading, is a tool to help you enter and organize this information; it does not verify the truthfulness or authenticity of any document or claim. You are responsible for confirming that any information you submit, approve, or attest to is accurate before it is saved.

4. Your Account and Acceptable Use

You're responsible for keeping your login credentials secure and for activity that happens under your account. You agree to use Care Wizard only for its intended purpose — managing your own business's staff compliance records — and not to attempt to access data belonging to other staff members or businesses without authorization.

5. No Resident or Client Information

Care Wizard is intended solely for tracking staff training and compliance records. You agree never to enter any information about the individuals your business provides care to — including names, medical information, or any other personal details about residents or clients. Care Wizard is not designed or intended to store this category of information, and doing so is outside the scope of acceptable use.

6. Data We Collect and How It's Used

Care Wizard stores the information you provide — such as staff names, contact details, training records, schedules, and uploaded documents — in order to provide the service to you. We do not sell your data to third parties. Data is stored using Supabase (database and file storage) and processed using Anthropic's Claude AI (for document reading) and email/notification providers to deliver the features you use. Uploaded certificates and documents are stored securely and access is restricted to your organization's admin and the staff member the document belongs to.

7. Your Data Stays Yours — Isolation & No Competitive Use

Care Wizard is built and operated by people who also operate Florida APD group homes. We say so plainly because you deserve to know it before you put your records in — and if you provide Supported Living or Personal Supports, we are not in your market at all. Either way we take the trust this places in us seriously, and we commit to the following:

• Isolation. Each business's data is logically isolated from every other business's and enforced at the database level (row-level security). One business cannot access another business's records.
• No competitive use. We will not access, review, analyze, or use your business's data to compete with you or for the benefit of any other group home operator — including any operator affiliated with Care Wizard or its owners.
• No selling. We do not sell your data or share it with third parties for their own marketing.
• Limited access. Access to your data is limited to what is needed to operate and support the service for you, and to the subprocessors described above. Any product analytics we derive are aggregated and de-identified.

8. Limitation of Liability

Care Wizard is provided "as is" without warranties of any kind, express or implied. To the fullest extent permitted by law, Care Wizard, its developers, and Care Wizard LLC are not liable for any damages, penalties, fines, or losses arising from your use of the service, including but not limited to reliance on information stored in or generated by the app, missed compliance deadlines, outdated or inaccurate Compliance Library content, or regulatory findings. To the extent any liability cannot be fully disclaimed under applicable law, it is limited to the amount you paid for Care Wizard in the twelve months before the claim arose.

9. Billing, Subscriptions & Cancellation

Care Wizard is offered as a paid subscription, with a free trial to start:

• Free trial. New accounts begin with a free trial (currently 30 days), no credit card required. When the trial ends, a paid subscription is required to keep full access. If you don't subscribe, your account becomes read-only — you can still see your data, but editing is paused until you subscribe. We do not delete your data for non-payment.
• Pricing. Subscriptions are billed per active home, on a monthly or annual plan, at the prices shown on our pricing page at the time you subscribe. Prices are exclusive of any taxes, which may be added where applicable. Your billed quantity reflects the number of active homes in your account, and adjusts if you add or remove homes.
• Automatic renewal. Paid subscriptions renew automatically at the end of each billing period (monthly or annual) at the then-current price, until you cancel. By subscribing, you authorize us and our payment processor to charge your payment method on each renewal.
• Cancellation. You can cancel anytime from your billing settings. Cancellation stops future renewals; your access continues through the end of the period you've already paid for. Fees already paid are non-refundable except where required by law or at our discretion — if something isn't right, contact us and we'll make it fair.
• Price changes. We may change subscription prices; if we do, we'll give you advance notice, and the new price applies to your next renewal after the notice period.
• Payment processing. Payments are processed securely by Stripe. We do not see or store your full card number. Your use of payments is also subject to Stripe's terms.

10. Changes to These Terms

These terms may be updated from time to time. If they change in a meaningful way, you'll be asked to review and accept the updated version the next time you use Care Wizard.

11. Governing Law

These terms are governed by the laws of the State of Florida.

12. Not Affiliated With Any Government Agency

Care Wizard is an independent, privately operated tool. It is not affiliated with, endorsed by, sponsored by, or an official product of the Agency for Persons with Disabilities (APD), the Agency for Health Care Administration (AHCA), the Centers for Medicare & Medicaid Services (CMS), Qlarant, the National Fire Protection Association (NFPA), or any other government agency, regulatory body, or third party. References to those agencies, their rules, forms, or programs are for identification and informational purposes only. Always confirm any requirement directly with the relevant authority.
