Care Wizard vs a Paper Binder for APD Compliance Records
The short answer
A binder is excellent evidence and a poor early-warning system. It proves what happened; it cannot tell you what is about to lapse, and it cannot be in two homes at once. Most providers end up keeping paper AND a way to see dates ahead — the question is what does the seeing.
Paper has real virtues that get dismissed too quickly. A signed certificate in a binder is the actual evidence. It works in a power cut, needs no login, and an inspector can hold it.
The trouble is that a binder only answers questions you already knew to ask.

What Care Wizard deliberately does not do
- · Some documents have to exist as a physical original. Care Wizard stores the scan and the date; the paper stays your record of record.

- · More than one building — a binder cannot be in both.
- · Anything that turns on a FUTURE date rather than a past one.
- · Recovering from a loss. Paper has no backup unless you made one.
- · Any change to the rules, which a binder cannot know about.
Common questions
Do Florida group homes have to keep paper compliance records?
Rule 65G-2.008(7)(b), F.A.C. requires written documentation of staff training to be maintained for at least three years and made available to APD on request. It does not require that the documentation be paper.
How long must Florida group homes keep training records?
At least three years after the training is received, under Rule 65G-2.008(7)(b), F.A.C. Fire drill records must be kept for one year under Rule 65G-2.010.
Is a binder or software better for an APD inspection?
A well-organised binder is strong evidence. Software wins on assembling that evidence quickly and on warning you beforehand that something is missing — which is the part that determines what the binder contains.
